1. Photography Services Refund Policy

1.1 Booking Deposits

To secure your photography session date and time, we require a non-refundable booking deposit (typically 30% of the total service fee). This deposit serves to reserve our time exclusively for you and covers preliminary work related to your session. Booking deposits are non-refundable under any circumstances, as they compensate us for time set aside and potential business declined as a result of your booking.

1.2 Cancellations by Client

If you need to cancel your photography session, the following refund policy applies to the remaining balance (excluding the non-refundable deposit):

  • Cancellations more than 30 days before the scheduled session: 100% refund of the remaining balance
  • Cancellations 14-30 days before the scheduled session: 75% refund of the remaining balance
  • Cancellations 7-14 days before the scheduled session: 50% refund of the remaining balance
  • Cancellations less than 7 days before the scheduled session: No refund

1.3 Rescheduling

If you need to reschedule your photography session, please contact us as soon as possible:

  • Rescheduling requests made more than 14 days before the scheduled session will not incur any additional fees, subject to our availability
  • Rescheduling requests made 7-14 days before the scheduled session may incur a rescheduling fee of £50
  • Rescheduling requests made less than 7 days before the scheduled session may incur a rescheduling fee of £100

If we are unable to accommodate your requested new date, our standard cancellation policy will apply.

1.4 Cancellations by GradientField Photography

In the rare event that we need to cancel your session due to illness, equipment failure, extreme weather conditions, or other unforeseen circumstances, you will be offered the following options:

  • Reschedule your session to another available date at no additional cost
  • Receive a full refund, including the deposit

2. Workshop and Event Refund Policy

2.1 Photography Workshops

For our photography workshops and educational events:

  • Cancellations more than 30 days before the workshop: 90% refund (10% administrative fee)
  • Cancellations 14-30 days before the workshop: 50% refund
  • Cancellations less than 14 days before the workshop: No refund

As an alternative to cancellation, you may transfer your registration to another person at no additional cost, or apply your payment toward a future workshop within the next 12 months (subject to availability).

2.2 Workshop Cancellation by GradientField Photography

If we cancel a workshop due to insufficient enrollment, instructor illness, or other unforeseen circumstances, you will receive a full refund of all fees paid. However, we are not responsible for any travel, accommodation, or other expenses you may have incurred.

3. Digital Products Refund Policy

3.1 Digital Downloads

Due to the nature of digital products (presets, templates, e-books, tutorials, etc.), all sales are final and non-refundable once the digital content has been downloaded or access has been provided. Before purchasing, please carefully review the product descriptions and system requirements.

3.2 Exceptions for Digital Products

We may consider refunds for digital products in these limited circumstances:

  • The digital product is demonstrably defective or corrupted and we cannot provide a working replacement
  • The product significantly fails to match its description
  • You have not downloaded or accessed the content yet

If you believe your situation falls under one of these exceptions, please contact us within 7 days of purchase with detailed information about the issue.

4. Physical Products Refund Policy

4.1 Prints and Merchandise

For physical products such as prints, photo books, and merchandise:

  • Damaged or Defective Items: If you receive a damaged or defective item, please contact us within 7 days of receipt with photos of the damage. We will arrange for a replacement or refund.
  • Return of Undamaged Items: If you are not satisfied with your purchase for any other reason, you may return the item within 14 days of receipt in its original, unused condition for a refund of the purchase price (excluding shipping costs).

Please note that custom-made or personalized items cannot be returned unless they are damaged or defective.

4.2 Shipping Costs

Original shipping costs are non-refundable. Return shipping costs are the responsibility of the customer unless the return is due to our error (wrong item shipped, damaged item, etc.).

5. Refund Process and Timeframes

5.1 How to Request a Refund

  2. For physical products, obtain a Return Authorization Number before sending any items back
  3. Include all original packaging, accessories, and documentation when returning physical items

Once your refund request is approved:

  • Bank transfers may take 7-14 business days
  • PayPal refunds usually process within 3-5 business days

Please note that your financial institution's policies may affect the exact timing of when the refunded amount appears in your account.

We understand that exceptional circumstances can occur. In cases of serious illness, bereavement, or natural disasters affecting your ability to use our services, we may consider exceptions to our standard refund policy on a case-by-case basis. Supporting documentation may be required.

6.2 Dissatisfaction with Photography Services

If you are dissatisfied with the quality of our photography services, please note:

  • Subjective aspects such as style, composition, or editing preferences are not grounds for refunds as samples of our work are available for review before booking
  • For technical issues (severe underexposure, focus problems, etc.), we will first attempt to address the concerns through additional editing or reshoots
  • Partial refunds may be considered for technical failures that cannot be corrected

Any concerns about the quality of delivered images must be raised within 14 days of delivery.
